Conference Assistant Position Description
Employment Dates: May 5, 2008 August 4, 2008
The Conference Assistant (CA) is a part-time (20 hours/week), student staff member of the Department of Housing Operations at the University of North Florida. As a student, the CA lives and works with groups that visit the University for a short period of time and works within the Central Housing Office. The Conference Assistant works closely with and is directly responsible to their immediate supervisor, the Associate Director of Housing Operations and to the Director of Housing Operations.
The qualifications, requirements and major areas of responsibility of the Conference Assistant are as follows:
A. Qualifications for Application
The following criteria must be met in order for the student to be given initial consideration as a CA candidate:
- Must be currently enrolled at the University of North Florida in the Spring 2008 semester as a undergraduate or graduate student
- If enrolled in Summer A or B or C, not take more than four (4) credit hours per summer session
- Must possess a minimum UNF cumulative grade point average of 2.5 (undergraduate) and 3.0 (graduate)
- Must possess a minimum Spring 2008 semester GPA of 2.0
- Must not be on University or Housing probation at the time of application (clear disciplinary record).
B. Compensation
- The CA will receive a private room in either Osprey Cove or The Crossings for the duration of employment. Room assignments will be made by the Summer Conference Coordinator.
- The CA will receive a bi-weekly pre-tax stipend via direct deposit of $95.20 for the entirety of the contract period ($6.80/hour x 7 hours/week). Each pay period is 2 weeks long. The payroll schedule will be as follows:

C. Staff Expectations
- The CA is required to reside in their assigned unit while in the CA position.
- Must abide by ALL policies as set forth in the 2007-2008 Resident Handbook, Summer 2008 Student Housing Contract Terms and Conditions and the UNF Student Handbook.
- Set an example by adhering to all University and Housing rules and regulations.
- Assist conference guests in knowing what is expected of them and the reason for these expectations.
- Confront, document and report all policy violations.
- Complete and submit incident reports. Procedures for incident report submission will be determined by immediate supervisor.
- Critical incidents should be reported to your immediate supervisor and appropriate on-call staff members immediately.
- When not on-call, CAs must be in their room no later than 1:00 a.m. Sunday Thursday
- When not on-call, CAs must be in their room no later than 3:00 a.m. Friday and Saturday on nights that conferences are in session.
- Each CA will work approx. 20 hours per week as directed by their immediate supervisor. The weekly work schedule will vary due to the unique conference schedule
- Attend weekly staff meetings and events.
- Submit all appropriate paperwork as directed by your immediate supervisor.
- Assist with daily tours of all on-campus residential facilities.
- Help with administrative duties within the Central Housing Office as directed by your immediate supervisor:
- Assist with the preparation of check-in and checkout for every conference.
- Work the agreed upon on-call shifts during the week (approximately one night per week).
- Conduct daily rounds of assigned area.
- Maintain bulletin boards and post information in a timely manner.
- Perform all other administrative duties as assigned by supervisor and/or Director of Housing Operations.
- Working with the staff:
- Participate in training sessions.
- Provide support and volunteer assistance as needed.
- Support other CAs and RAs within the Departments of Housing Operations and Residence Life.
Note: Requests for additional employment outside of the CA role must be discussed and approved by your immediate supervisor before employment begins. If approval is granted, the CA will be expected to limit or discontinue their employment if their supervisor deems it necessary. CAs must have flexibility to participate in the on-call duty rotation and must be available for all assigned conference check-in, check-out, and room set-up times.
